Workspaces
Workspaces help you group related chats and resources in one place. Instead of managing each chat individually, you can bundle everything that belongs to a topic, task, or workflow into a single workspace.
What Is a Workspace?
Section titled “What Is a Workspace?”A workspace is a shared space for a specific topic or task. It can contain:
- Chats – All conversations related to the workspace
- Knowledge collections – Knowledge collections created in the workspace and available in all of its chats
- Skills – Skills created in the workspace that the AI can activate when needed
- Instructions – Custom instructions that apply to every workspace chat
- Created content – Documents, diagrams, and spreadsheets created in workspace chats
Creating a Workspace
Section titled “Creating a Workspace”- Open the Workspaces page from the sidebar
- Click Add workspace
- Enter a name and optionally a description
- The workspace is created and you can start adding chats
Adding Chats to a Workspace
Section titled “Adding Chats to a Workspace”You can assign existing chats to a workspace or start new chats directly from within a workspace:
- New chat from workspace: Open a workspace and use the input field to start a new chat. The chat is automatically part of the workspace.
- Move existing chat: Use the workspace picker on a chat to add it to a workspace.
Workspace Resources: Knowledge Collections, Skills, and Instructions
Section titled “Workspace Resources: Knowledge Collections, Skills, and Instructions”Workspace resources are what make workspaces powerful. Knowledge collections, skills, and instructions that you create in a workspace are automatically available in every chat within that workspace — without manually selecting them each time.
Knowledge Collections
Section titled “Knowledge Collections”Under the Knowledge tab, you can:
- Create knowledge collections – Create a knowledge collection that belongs to this workspace. Upload documents to it and they will be available as context in all workspace chats.
- Activate or deactivate – Each knowledge collection has an activation toggle. Active knowledge collections are available in every workspace chat. Inactive knowledge collections are excluded and not used until activated again.
- Delete knowledge collections – Remove a workspace knowledge collection when it’s no longer needed.
Skills
Section titled “Skills”Under the Skills tab, you can:
- Create skills – Create a skill that belongs to this workspace. The AI can activate it when needed in workspace chats.
- Activate or deactivate – Active skills are available for the AI to use when needed. Inactive skills cannot be activated by the AI.
- Pin skills – Pin a skill to make it appear as a quick-access option when starting new chats in the workspace.
- Assign knowledge collections – Workspace skills can use the workspace’s knowledge collections. Open a skill to choose which knowledge collections it may access.
- Delete skills – Remove a workspace skill when it’s no longer needed.
Instructions
Section titled “Instructions”Under the Instructions tab, you can write custom instructions that are added to every chat in the workspace. For example:
- “Always respond in formal German (Sie-Form)”
- “Base your answers on the regulations of the State of Hesse”
- “Format responses as short bullet points”
Click Save after writing or changing instructions.
Viewing AI Context in a Chat
Section titled “Viewing AI Context in a Chat”When you’re in a chat that belongs to a workspace, you’ll see a context hint below the input field that shows the workspace name and a summary of the active context (e.g., “2 skills, 1 knowledge collection”). Click the hint to open the AI context panel in the sidebar, which shows:
- Which skills are available in this chat
- Which knowledge collections are active and how many documents each contains
This way you always know what context the AI is using in your workspace chats.
Created Content
Section titled “Created Content”Under the Created content tab, you can see all documents, diagrams, and spreadsheets that were created in chats within this workspace. Each entry shows:
- The title and type (document, diagram, or spreadsheet)
- The version number
- When it was last updated
Click an entry to open the chat where it was created and continue working with it.
Favorites
Section titled “Favorites”Use the Add to favorites option on a workspace to pin it to the top of your sidebar for quick access. You can remove it from favorites at any time.
Practical Example
Section titled “Practical Example”You manage building permit applications and create a workspace called “Building Permits 2026”. You create a knowledge collection with the current building regulations and a skill for formal responses directly in the workspace. Now every new chat in this workspace automatically has access to the regulations and uses the right tone — without any extra setup per chat.
