Letterheads

In the Letterheads settings, you store your organization’s official stationery as a PDF template. When a user exports a document from the Editor as a PDF, the content is placed directly on the letterhead – the finished document looks as if it were printed on your official stationery.

  1. Navigate to Admin SettingsLetterheads
  2. You will see a list of all stored letterheads

You can create multiple letterheads – for example, for different offices, departments, or occasions.

  1. Click Add
  2. Enter a Name – e.g., “Official Letterhead”
  3. Optional: Add a Description. It helps the AI understand what this letterhead is intended for
  4. Upload your template for the first page under Letterhead (PDF)
  5. Set the First Page Margins (mm) – the preview highlights the content area, so you can see where the text will be placed later
  6. Click Create

Many organizations use a different letterhead for the first page than for the pages that follow – for example, a full letterhead on page 1 and a reduced design afterwards.

To do this, enable the switch Use different letterhead for following pages. You can then upload a separate template under Following Pages (PDF) and set dedicated Following Pages Margins (mm).

Without a separate following-pages letterhead, the first-page template is used for all pages.

  • PDF format with exactly one page per file
  • Maximum file size: 5 MB per file
  • Page margins: values in millimeters, non-negative (default: 20 mm on all sides)

Click a letterhead in the list to open its detail page. There you can:

  • General – change the name and description
  • Letterhead – replace the first-page PDF and adjust the margins, with a preview of the stored PDF
  • Following Pages – add or replace a separate following-pages letterhead, or remove it using the switch

Then click Save.

Click the trash icon in the list and confirm the dialog. Documents that use this letterhead will be exported without a background from then on.

As soon as at least one letterhead is stored, a letterhead selector appears in the Editor. Users select the desired letterhead (or No letterhead) and export the document as a PDF – the content is automatically placed on the letterhead. Word export is not affected.
