Roles & Permissions

In the Roles & Permissions section, you define which actions users and managers may perform in your organization. Administrators always have all permissions and cannot be restricted.

Ayunis Core offers three roles:

RoleDescription
UserDefault role for all members. Can chat, use skills, and upload documents. Which additional permissions users have is defined in the permissions matrix.
ManagerExtended role for people with organizational responsibility. Managers can — depending on configuration — manage teams, create, edit, and share skills and knowledge collections. Managers can also access certain admin settings when granted the corresponding permissions.
AdministratorFull access to all features and settings of the organization. Administrators cannot be restricted.
  1. Navigate to Admin SettingsRoles & Permissions
  2. You will see a table with all permissions, organized by area

Permissions are divided into the following areas:

PermissionDescription
Manage teamsCreate, edit, and delete teams
Assign users to teamsAdd and remove members from teams
PermissionDescription
Manage skillsCreate, edit, and delete skills
Share skillsShare skills with the organization or teams
PermissionDescription
Manage knowledge collectionsCreate, edit, and delete knowledge collections

For each permission, you can use checkboxes to define whether Users and/or Managers may perform that action. The Admin column is always enabled and cannot be changed, since administrators hold all permissions.

Next to each role name and each permission you will find an info icon (ℹ️). Click it to see a short explanation of what that role or permission means.

  1. Check or uncheck the desired permissions
  2. Click Save changes

What Happens When a Permission Is Missing?

Section titled “What Happens When a Permission Is Missing?”

If a user or manager does not have a permission, the corresponding buttons and actions are hidden in the interface. For example, if a user does not have the Manage skills permission, they will not see buttons to create, edit, or delete skills.

When your organization is set up, users and managers receive the following permissions by default:

  • Manage and share skills
  • Manage and share knowledge collections

Team management permissions are enabled only for administrators by default.

Managers with team permissions (Manage teams or Assign users to teams) gain access to the Teams section in admin settings. All other admin settings remain restricted to administrators.
