Administrators Only

This setting is only visible to users with the Administrator role.

The Instructions settings let you define organization-wide instructions that the AI assistant follows in every conversation across your organization. These instructions are applied automatically — users do not see them, but the AI follows them in every chat.

Opening Instructions Settings

1. Navigate to Admin Settings → Instructions
2. You will see the Organization-wide Instructions configuration panel

What Are Organization-wide Instructions?

Organization-wide instructions are rules or guidelines that shape how the AI responds to all users in your organization. They are invisible to users but influence every AI response.

Example Use Cases

• Communication style: “All responses must use formal language and address the user with ‘Sie’.”
• Compliance guidelines: “Always include a disclaimer when providing legal information.”
• Organizational context: “We are a municipal administration in the state of North Rhine-Westphalia. Responses should reference NRW-specific regulations when relevant.”
• Output format: “Always structure responses with clear headings and bullet points.”

Configuring Instructions

1. Enter your instructions in the text field
2. Click Save

Instructions can be up to 10,000 characters long. Write them in clear, direct language — the AI follows them as written.

Tip

Keep instructions concise and specific. Vague instructions like “be helpful” have little effect. Instead, use concrete rules like “Always provide sources when citing statistics” or “Use formal language in all responses”.

Editing or Removing Instructions

• To edit: Modify the text in the field and click Save
• To remove: Click Remove to delete the organization-wide instructions entirely

When instructions are removed, the AI reverts to its default behavior without any organization-specific guidance.

Internet Access

In the same settings area, you can control whether the AI assistant is allowed to access the internet in chats. This setting applies to all users in your organization.

Disabling Internet Access

1. Navigate to Admin Settings → Instructions
2. Find the Internet access section
3. Enable the toggle Disable internet access
4. The setting is saved automatically

When internet access is disabled, the AI assistant can no longer use web search or read the contents of websites in any chat. This can be useful if your organization’s policies require that no external data sources are accessed during conversations.

Re-enabling Internet Access

To allow internet access again, simply disable the toggle. The change takes effect immediately for all users.
